Privacy Policy
Roy Freight Systems, operated by 2362140 Ontario Inc., Burlington, Ontario. Effective October 30, 2026.
This policy explains what information we collect through this website and our driver and customer services, why we collect it, and who it is shared with. We collect only what we need to run the service.
What we collect
- APR (Additional Pay Request) submissions — driver name, truck number, trip number, the pay items claimed, waiting times and reasons, notes, and any photos attached.
- Problem reports — problem type, odometer reading, notes, and photos.
- Settlement documents — pay statements and settlement reports that customers upload, or that we receive, for pay auditing. These can include driver names, trip details, and pay amounts.
- Contact messages — your name, email address, and the contents of your message.
- Payment information — subscription payments are processed by Stripe. We never receive or store your full card number.
How we use it
- To file APR claims with Tandet on the driver's behalf (claims are emailed to Tandet payroll; TLI Detention is copied only when a loading or unloading wait exceeds two hours).
- To audit pay settlements against claims and report anything missing or short.
- To operate, bill for, and support our services, and to keep the business and tax records the law requires.
Who it is shared with
We do not sell personal information. Information is shared only with:
- Tandet — the APR claims a driver submits, sent to Tandet payroll as the driver directs.
- Our service providers — Make (automation), Microsoft (email), Google (file storage), Cloudflare (website hosting), and Stripe (payments). They process information only to provide their service to us.
We do not access customer email accounts unless a customer separately signs up for our optional hands-off monitoring service and gives explicit permission. That permission can be withdrawn at any time, and the service works without it — customers can upload their settlement documents instead.
Cookies
This website uses only the essential cookies needed for it to work and stay secure (provided by Cloudflare). We do not use advertising or tracking cookies.
How long we keep it
Pay, settlement, and billing records are kept as long as business and tax record-keeping requires. Other submissions are kept while they are needed to operate the service. You can ask us to delete your information, and we will delete what the law does not require us to keep.
Security
The website runs over encrypted HTTPS connections. Driver and customer areas are password-protected, and access to submissions and documents is limited to the people who operate the service.
Your rights
You may ask to see the personal information we hold about you, to correct it, or to delete it (subject to the record-keeping limits above). Contact us and we will respond.
